Inventory Display Configuration

The Inventory Display Configurator is a powerful tool that allows you a great deal of control of what inventory text displays on your items.  You can find the tool in the Site Manager menu in the site Admin panel.  You must be a SuperAdmin or Admin with the Settings role to access this feature.

In Stock or Not in Stock?

The first thing to consider when making changes to how your inventory displays is to determine if you are wanting to deal with items that are in stock or not in stock.  The basics of how the configurator works will be the same for each path, however, you have the ability to configure different text for the different paths.  Simply select the path you want to edit.

The In Stock and Not in Stock paths will have some pre-configured Inventory Scenarios in place. These scenarios represent the way your site is displaying inventory currently.  You may select and edit an existing scenario or add new scenarios by clicking the "New" button.

The Inventory Display Configurator will limit you to 30 scenarios (rules). This is in place to keep areas of the site running smoothly when applying a scenario.

Creating a New Inventory Scenario

An Inventory Scenario is the inventory text you want to display and a group of triggers that determines what displays.

You can edit an existing scenario or create a new one:

  1. This box allows you to disable the scenario without having to delete it or change any settings. If you decide you don't need the rule for now but may need it later just click this box.
  2. Select an existing scenario and click the "Copy" button to copy an existing scenario.
  3. Enter a description of the scenario.  This appears as the name of the scenario on the list as well.
  4. Create triggers for your scenario.  You can see more about creating triggers below
  5. Whether an item is in stock or not is dependent on how the user is configured to see inventory on the site.  If you choose, you can set the different text to display based on the two distinct possibilities:
    1. Global Inventory:  This is the text that will display for users who are seeing global inventory (all location inventory combined).
    2. Location Inventory:  This is the text that will display for users who are only seeing inventory for their Default Location.
  6. Determine addition details about how you want the inventory to display:
    1. Purchase Enabled:  This determines if the user will be able to add this item to the cart or not.
    2. Show Price:  This determines if the user will see a price on the item or not.  If you disable the price, you will also automatically disable the ability to purchase the item, as items without prices cannot be added to the cart in the WebAlliance system.
    3. Show Inventory Detail Link:  This determines if the user will be able to click the inventory text to see real-time inventory for the item.
  7. Enter the text you want the user to see for this scenario.  You may also drag and drop items from the Properties box into the Inventory Status Message.  Properties give you the ability to populate existing data about an item that might be different for each item in the scenario.

Note: If the user's location is associated with a region, the "Location Inventory" setting tab will represent what the user sees.

The order of the scenarios is very important.  New Scenarios will be put right above the Default scenario.  The system will check the scenarios from top to bottom and display the first scenario that meets the criteria.

Triggers

Triggers are used to determine what items (or users) will be affected by this scenario.

You can create multiple triggers and multiple groups.  Each group of triggers can be set up to either require at least a single trigger to match (Match Any) or require all triggers within the group to match (Match All).

Click the edit button to edit an existing trigger or click "New Trigger" to create a new one.

  1. Select a property.  A property is a way for the system to know what items will be affected by this scenario (or what type of user).
  2. You can choose whether the scenario must equal the property value or not equal the property value.
  3. Enter the value that must be found for the selected property to match the criteria of the scenario.
  4. You can start a new group of triggers by clicking the "Add Group" button.

Trigger properties are ERP dependent.  If you have any questions about which triggers are available for your ERP, contact Aldrich Web Solutions.

Enabling/Disabling Scenarios

You have the option to either Enable or Disable scenarios to allow you to further customize your inventory display.

Selecting on your created scenarios you can enable those you want to apply while disabling those that do not without having to delete them. The Defaults can not be disabled. This is the only scenario that can not be disabled.
