Order Template Administrator

 

To create quick, easy, customizable ordering templates for your web users, use the Order Template Admin section of your WebAlliance site.  From the Admin panel, select Orders>Order Template Admin to access the Order Template Administrator page.

You must be a SuperAdmin or an Admin with the Users Area role to access the Order Template admin.

The Interface

This is an example of viewing order templates from the Admin view:

  1. Filter to view all order templates that contain a particular Part Number. This must be an exact match to an ERP Item ID.
  2. View - See the template for the web user's point of view.
  3. Edit - Edit the name, description, and items included on an order template.
  4. Delete - Remove the template.
  5. Copy - Make a copy of the template.
  6. Change Owner - Give ownership (editing privileges) to another user.
  7. Change Customer - Change the customer code this Order Template is associated with.
  8. Export a .csv file with the details for all Order Templates, including the last time it was modified, the owner of the template, the Customer Code associated with the template, the list of items, a link to the template itself, etc.
  9.  Find and Replace Items - This opens a tool that allows you to enter a part number, insert a tab or double pipes (||), and then enter a new part number to replace it with. The original part number will be replaced in all Order Templates with the new one. Multiple lines can be done using this tool at once. (See screenshot below)

To clear the Part Number filter, empty the box and click "Filter".

Viewing the Template

This is what the order template looks like to your web user. Depending on their Permissions, they might see the options highlighted above.

  • Edit - allows the user to edit various aspects of the template.
  • Delete - remove the template.
  • Add to Cart - to add the items to the cart.
  • Add to Quote- to add items to a quote.

To add the contained items to your cart, set the Order Qty of each item and click "Add to Cart".  You can click the "Clear All Quantities" button if you need to start over and enter new quantities.   Quick Checkout will begin the checkout process immediately all is needed is to enter the PO Number to finish the checkout.

Editing the Template

From the "Edit" option:

  1. Checking this box allows for the Quick Checkout option to be enabled to the template.
  2. Change the template name and description.
  3. In the list of items, use the arrows to move the item up or down on the template.
  4. Use the "Add Item" button to search for new items to add to the template.

You can also set the Default Order Qty here, which the end user can edit upon viewing the template.

Editing Permissions

Template owners, SuperAdmins and Admins with the Users Area role can edit permissions on an order template.

  1. Allow View - This gives users the permission to view the order template, and add the items from the template to their cart.
  2. Allow Edit - This gives users the permission to add or remove items from the template, as well as change the template name or description.
  3. Allow Delete - This gives users the permission to delete the template entirely.
  4. You can create additional permissions for individual users by clicking the "Add Permission" button and entering a valid username.  This allows you to provide different permissions for different users within the Customer Code assigned to the order template.  Individual user permissions will take precedence over the Customer Code based 'All Users' permission for the template.  So, for instance, if on your 'All Users' permission, you have 'Allow Edit' selected, and you add an individual user permission with the 'Allow Edit' permission unchecked, that user will not be able to edit the order template.
  5. Clicking the "Delete" button will remove the permission.  If you delete all of the permissions from an order template, it will only be accessible by the template owner, SuperAdmins and Admins with the Users Area or Orders Area role.

Accessing a Template

Users can access only templates that they have permission to view or edit. The URL to reach the template list is www.YourDomain.com/ordertemplate/view.
