Subscription Ordering Admin Tools

 

Subscription Ordering admin tools can be found by navigating to the admin area of the site and accessing the Subscription Ordering link in the Additional Modules menu.

Adding, Viewing, Pausing, and Deleting Subscription Orders

Admins have control over Subscriptions created by users as well as the ability to create new Subscriptions.  To access the Subscription Orders Admin tool, navigate to https://www.yourdomain.com/admin2/plannedorders/index while logged in as an Admin.

  1. This is where you will input the Customer Code to whom you'd like to add a Subscription Order.
  2. The "+ New Order" button will navigate to the new planned order Admin with the selected Customer Code as the code to be used for the order and the base of where the Ship-Tos will populate from.  See our Creating a Subscription article to see the details on how to create a Subscription.
  3. The "Item Search & Replace" button will allow you to search for a specific item # within your Subscription Orders, and replace that item with a newly designated item #.
  4. Clicking the "Manage" button on a Subscription Order will take an Admin to the User Admin screen where they could manage the order for the Customer if desired.
  5. The "View Audits" button will display a Subscription Audit Log for the designated Subscription.
  6. The "Delete Selected" link will delete any established Subscription Orders that you have selected from the Uid column on the left of the navigation pane.
  7. The "Pause Selected" link will pause any selected Subscription Orders until unpaused at a later time.
  8. The "Modify Primary User" link will allow you to update the Primary User for all selected Subscriptions.
  9. The "Modify Customer Code" link will allow you to update the Customer Code for all selected Subscriptions.

Editing Scheduled Orders

The Scheduled Orders tab in the Subscription Orders Admin tool will show a summary of scheduled orders, along with their Ship Date, ID, Ship To ID, Ship To, Frequency, and Status.

  1. The "View Subscription" button will navigate an Admin to the Subscription Management page for that Subscription. An Admin can see an overview of the Subscription template, and have the ability to make changes to that order if desired, similar to the home page of the Subscription Order Admin tool (see screenshot below).

2. The "View Scheduled Order" button will display a pop-up window containing useful information on the Order in question, such as the Customer, Creator, Schedule, Ship Date, etc... (see below screenshot). 

Order Exceptions

The Order Exceptions tab will display any planned orders that have potential issues (e.g. the primary user has been deleted), to see a quick overview of corrections that need to be made.

The Details button will provide further details on the Order Exceptions for a specific Subscription Order.

Order Logs

The Order Logs tab will display a detailed log of all of your site Subscription Orders, along with an Audit Trail for detailed information. Both the "Shipment Creation" and "Audit Trail" areas have button filters for easy filtering of your Subscription Order information.

Each Column in the Order Logs has an individual Filter which can be utilized by selecting the Filter icon in the Title area of each column.

Module Settings

The Module Settings tab provides an area to quickly adjust the Subscription Module Settings. 

  1. Subscription Default Order Time - Set the default time that orders should be placed for subscriptions.  Note that this is the time that carts will be created on the site when a scheduled order date arrives.  This can be set on a Subscription-by-subscription basis as well.
  2. Schedule Out (in days) - How many days to schedule out subscriptions (Minimum of 30 days, maximum of 180 days).  This doesn't mean if someone has a Subscription without an expiration date that it will stop after 30 days. This just determines how far in the future users and Admins can see Scheduled Orders on the Scheduled Orders tab.
  3. Primary User Configuration - How to determine the Primary User for a Subscription.
  4. Cart Creation Failure Receiver Email - If the system encounters an error creating a cart from a scheduled order, this is the email that will be used to notify someone of the failure. If this is blank, it will be sent to the default email receiver in the site settings.
  5. Ship To Request Email Receiver - Users can fill out a form to request a ship to be added to their account in the ERP. The system will send an email to this email address or the default email receiver in the site settings.
  6. Allow Custom Order Time - If enabled, users will be able to set the order time for their subscriptions.
  7. Schedule Shipment Notification - Days before an upcoming shipment to send out notifications.  You can select multiple days here, so if you want, you can have a notification sent 7 days and 3 days before an order is scheduled to be created for instance.
