Importing/Exporting Categories

These tools allow you to organize data into an Excel, CSV, or Tab Delimited file and import as well as export categories and category images directly into PIM.

Importing

If you want to attach images to your categories with the import, you will need to designate a folder that contains all of the images you want to import.

After selecting your file format, you can browse for the file you would like to import by clicking the three dots on the right side.  If you are using an Excel file, be sure to select which sheet you would like to import.

Under "File Structure" you will select which format your file is.  There are examples of each file structure below.  You can also click "Download. . ." links next to each format to receive a template that can be edited.  These templates contain example data to give you an idea of how to format the file.

While setting up data to be imported you can include the names of images you want to be associated with each category.  For these images to import you will need to select the folder under "Image Directory" where all the images you will be importing currently exist.

Once you have everything ready click "Process" and a preview of the categories will be seen.  If anything looks incorrect you can cancel and check over the data, otherwise select "Import" to complete the process.

File Structures

The first type of file structure is "Each row is full category path".  This means each row is a self contained category path, where all of the necessary data for the category is in one row.  For example, in the images above, Row 5 is used to create the "Phillips" category (Tools/Hand Tools/Screwdrivers/Phillips.)  Each category to the right of the first will be a subcategory.  The leftmost column is used to add images. You will need to enter the name of the image you would like to associate with the category in the same row (E.g. Alum.jpg is used for the Aluminum subcategory).

The second type of file structure seen above is "Row/Col structure mimics nested."  In this format, each row is not a full path, but instead relay on the data in the other columns.  While functionally the same as the earlier structure, this format only requires an image name and one other cell in each row.  The leftmost column is used to add images.  You will need to enter the name of the image you would like to associate with the category in the same row.  All categories entered into a column will be a subcategory to the column on their left.  For example, in the above image "Hand Tools" is a subcategory of "Tools" while "Screwdrivers" and "Pliers" are both subcategories of "Hand Tools" since they share the column to the right of "Hand Tools."

The last type of file structure seen above is "Each cell contains the full category path" which is similar to the "Each row is a full category path" format.  The difference is that the full path is contained in one cell with the subcategories separated by slashes.  The leftmost column is used to add images.  You will need to enter the name of the image you would like to associate with the category in the same row.  In the example above "Tools" is the main category with everything else being a subcategory.  Since "Hand Tools" is a subcategory of "Tools" you would put it next in the path (Tools/Hand Tools) along with its associated image.  As you continue you can make the path more specific to have more subcategories or start a new main category.

Exporting

To export your categories  you'll need to navigate to the "File" menu and select "Export Categories".  Once there, you'll be able to choose the format between a Comma Separated Value (CSV) spreadsheet or an Excel spreadsheet.  

Once you've imported your categories you'll be able to verify if the process was successful by comparing your categories to that of the document via excel.  As displayed in the image above, these will be exported in a tree-like structure with image paths being on the leftmost cell of the document correlating to what Categories it is assigned to in PIM.  Categories will appear directly to the right of the cell containing the Image pathway with Sub Categories appearing  one cell down and towards the right of their parent category
