4) Add or Import Items

 

Add items to your categories.  Search through your ERP database for items, or import a spreadsheet.

Available Choices

  • "Search & Categorize Items" lets you manually search and filter your ERP inventory.
  • "Import Items & Properties" lets you import a spreadsheet you've worked on outside of Attribute Manager.
  • "Search Items" lets you see the categories and attributes assigned to a particular item.
  • "Sync Parts With ERP" updates Attribute Manager with item changes from your ERP system.

Search and Categorize Items

  1. Set parameters for your search.  After choosing your parameters, click "Add Search Filter".
  2. Added search filters will show up in this section.
  3. Click "Show Search Results" to view applicable items.
  4. Select all results in the window.  You can also select individual items.
  5. "Use Selected Items" puts the selected items into the selected Category.

Import Data

  1. Open a previously saved template.
  2. Choose either "Excel document" or "Tab Separated File".
  3. Browse to choose a file.
  4. Choose which field contains the ERP part number.
  5. Choose the Featured Indicator Field, which indicates an item is a "Featured" item. NOTE: This is a required field. Set it to "None" if there is no corresponding "Featured" column on your import sheet.
  6. Map the source fields to the fields in Attribute Manager.
  7. Clicking AutoMap will automatically map all of the matches it finds between the names of your source fields and the names of your Attribute Manager fields.  Incorrect matches can be deleted and additional mappings can be added after using AutoMap.  Note:   If you use AutoMap, any manually added mappings will be lost.
  8. Once you've mapped your fields, you may choose to save this form as a template.  This might make the import process quicker in the future since you don't need to map the fields again.  Generally, AutoMap is a better option because, with AutoMap, you don't have to maintain an Import Template file.
  9. Import the sheet into the selected category.  Testing the import (Optional) will make sure the mapped fields are valid.  If you want to delete the items currently in the category before you import, check "Remove Items before Import".

NOTE: It's always best to start with a sheet that's been exported from Edit Items & Properties. In Excel, you can edit any field(s) on the sheet, then import all of the data back into the category.  If you import a sheet with information missing from attributes (or if you don't map those attributes on import), those columns will be left empty on import.

Search Items

The "Search Items" feature allows you to see all available category and attribute information for a given item. In the search box, enter an item code and click "Go". The three sections in the body of the window are:

  1. Item Categories - Lists all categories that the item is assigned to.
  2. Item Attributes - Lists all attributes that are assigned to the item, across all categories.
  3. Category Attributes - Lists all attributes assigned to the item in the category selected in the Item Categories box.  In the above example, the "Ventilation and IAQ" --> "Air Filters" category contains the attributes listed in this box.

This screen is a good indicator of what information will be available on the web for a given item. Use it to verify that your attribute values are consistent across categories.
